This policy delineates the operational standards and monitoring metrics indispensable for maintaining a streamlined workflow and surpassing client expectations.

Monitoring and Turnaround

Turnaround and Sample Status Monitoring

  • Continuous monitoring is pivotal for tracking the status and progression of samples through our analysis process. A real-time monitoring system shall be instituted to check the turnaround and sample status every 5 minutes viewable to all in the lab at all times.

Management Review

  • Management is mandated to review the operational capacity, staffing levels, and other essential resources on a regular basis to ensure that over 99% of internal Key Performance Indicator (KPI) targets for turnaround are met.

Capacity and Resource Management

Reserve Capacity

  • At all times, a reserve capacity of at least 33% above the daily average number of samples shall be maintained to accommodate unforeseen surges in demand.

Instrumentation and Staffing Resilience

  • The lab shall be structured to operate efficiently with the above reserve capacity even with 15% of lab instruments out of action and 25% staff absences to accommodate for instrument failures and staff sickness and holidays.

Bottlenecks and Feedback

  • A transparent and accessible channel shall be established for staff to report potential bottlenecks and provide feedback on operational hurdles. This open communication is crucial for proactive management and continuous improvement.

Exceeding Capacity

  • Should operational capacity be exceeded for more than five days in a 365-day span within 12 months, it shall automatically trigger a review and potentially additional investment in the lab to bolster capacity and maintain our service standards.

Disaster Recovery and Redundancy

Operational Resilience

  • Core and emergency sample processing capabilities shall be maintained across our two operational buildings. By strategically distributing staff and equipment, we ensure uninterrupted service provision even in adverse conditions.
  • A reliable backup power supply has been secured through the investment in generators, ensuring continuous operations during power outages.

Stock Control

  • A robust stock control system shall be implemented to maintain a minimum stock level. The stock level shall be calculated based on at least five times the quantity usually consumed during the worst lead time for any item in the past 24 months, adjusted for anticipated business growth over the next six months. This proactive stock management ensures we are well-prepared to meet the demand even as our business expands.
