First Login to the portal. If you do not have a username and password already, you can request one from the main menu. Once you have one click "Login" below (a new window will appear allowing to login to the site). You can follow the instructions side by side with two windows or read through all the steps first and login at the end.

Once logged in, you will see the dashboard summary of your machinery and sampling points, highlighting any outstanding actions. On PC/Mac click Create New Sample (highlighted in blue). On Mobile Click the 3 horizontal lines (highlighted in yellow) to show the menu first then click Create New Sample (highlighted in blue)

Click to Add Sampling Point

Once on the Create Sample Labels page click or search in Customer field, then the Job Site and finally in the equipment field to select the equipment. You can also type in these 3 boxes if there are many assets to search through to begin searching. Once Done, Click the >Next button at the bottom of your create sample labels window. You may need to scroll to see the button and ensure your dropdown box is not hiding the button like on the right hand example. To continue the tutorial click "Next Step".

Once you have chosen the equipment fill in any relevant details such as unit meter reading, which will default to an estimated reading based on your provided daily usage, and the sample date if not today. Note Machine and fluid hours must be whole numbers and not decimals. All other fields on this page are optional. Once completed for the machine then click >Next. IMPORTANT: Any number fields from now onwards including oil hours, unit hours, topup etc are all whole number fields and can't accept decimals. You will not be able to submit the samples as the end if you do use a decimal. Please round any decimals to the nearest whole number.

Once you have chosen the equipment and entered any relevant machine details you can now choose the sample compartments you wish to sample. In this example taken from a road vehicle you may wish to sample the engine oil, engine coolant or fuel for analysis. Tick the appropriate compartments/components to be sampled and then click >Next. Enter the Oil Type I.e. brand of the oil from the pick list and the Oil Grade from the pick list if known. For Fuels and non-brand specific products you can choose "Not Given". If you have your own barcode scanner for your PC/Mac (or barcode scanner keyboard app for your smartphone e.g. ScanKey) you can simply scan the Kit number (begins with a K) into the bottle label code on the bottle or form.
You can use the QR code on the bottle or linear barcode on the sample pack - whichever suits you.

Feel free to add notes to what was sampled on the paper barcode sheet and tick off when samples are submitted if it helps you keep track of which samples you have done. Do not send this sheet and keep it for your record.

Once the barcode is entered and sample information is all complete you can click add to queue for each sample (if not using a barcode scanner), otherwise they will automatically be added to the queue. You will be returned to step 1 once all the samples have been added if you wish to add further machines. To see Step 1 again click Return to Step 1. Otherwise click Send to Lab (on the portal) . To confirm your registration has been sent correctly you can navigating to "samples in transit" and see your barcodes which will be prefixed with a "BC" if accepted, To remove an incorrect entry you can do so by selecting the entries to remove and click "Delete Selected". You can hold onto the paper slip for your records, entering any sample information for your notes and post the bottle to the lab. To End the tutorial click "End Tutorial" and to Login to the lab portal click "login".
